Management of Registrations

This article covers basic steps of managing registrations for Events such as Conference or The Roofing Games.

Note that this article does not cover the initial setting up of such events - see the separate instructions for Setting Up Registrations.

The activities covered in this article will typically all take place in the period between registrations opening and the event taking place.

 

Manage Events Dashboard

The Manage Events Dashboard provides a short overview of upcoming events and recent registrations.

Note that due to Code of Practice downloads are handled as registrations, these may often outnumber registrations for physical events.

 

This screen does however serve as an excellent launchpad for these activities.

  • On this screen, the Manage Events button goes to a list of all events.
  • Just below the Recent Registrations list is a link to Find more event participants - the use of which is detailed below
  • Once at this screen, the CRM Top menu appears, giving access to all CRM Functions.
    Probable uses here include searching for people with the main Search box, and under the Contacts and Events sub-menus in particular.

 

Search for Participants

 

This screen enables to search by a wide combination of criteria, and is useful for generating lists to action.

  • Event Name is most useful when searching for a single Event.
    Start typing and select the relevant Event.
  • Event Type is likely to suit when you have multiple locations or dates.
    e.g. Select 'Workshop LBP' for all Roofing Games events regardless of date or location

Once you have found the desired Participants, you can take action on them collectively or individually.

 

Actions for Participants

 

For collective actions, you can either select "All X Records" or Tick records individually, and then use the Actions dropdown to select actions such as:

  • Update Status
  • Email
  • PDF Print for letter (eg. Mail Merge)

You can also follow the Edit link at the right of individual participants to perform other actions, like cancelling or updating their contact details.
